A new GDPR (General Data Protection Regulation) came into force on the 25th May 2018, which concerns the use of personal data.

Here we outline what data we collect and for what reason.

Personal Data Collection:

We collect your personal data such as full name, address, email, home and mobile telephone numbers, via our booking form, for the purposes of processing our contract, i.e. administering your holiday booking with us. We respect your privacy and unless you consent to receive our periodic newsletters with their details of special offers (see marketing details below), your email address is only used to send information relating to your enquiry or to process your booking. These details are stored in a file on a single computer with back up, but are not stored on line.

Villascapes Limited is the data controller and does not sell personal data to any other individual or organisation. Likewise it does not transfer data to any other parties, unless required to do so within the confines of its booking processes, i.e. passing on necessary information to its suppliers to carry out your booking.   This includes the processing of passport information, where we are obliged by the Portuguese authorities (SEF – the Portuguese Ministry of Foreigners and Borders Service) to collect it from you in advance to pass on to them.  We will destroy this information as soon as we have passed it on, unless you indicate that you would like us to keep the information for future bookings. 

The other instances of shared data would be the processing of your data if you choose to pay your deposit or balance by credit or debit card. These details are processed by the data processor – “First Data Merchant Services” in the United Kingdom.  You can view their Privacy Policy on their website. Further, we may be obliged to disclose your personal data to comply with any legal obligation or in order to enforce or apply our terms and conditions or to protect the rights or safety of Villascapes Limited, our customers or others.

When we ask for your feedback at the end of your holiday, these comments are purely contained within house, and for our own evaluation to monitor standards, and we only use your testimonials, where permitted, to assist others with their booking choices.

Marketing Activities

If you have opted in to receive marketing emails from us, we will send you occasional newsletters and other special offers on our properties that we think might interest you. Our Newsletter, generally sent once a month, contains news, suggestions for family day’s out and information on holiday properties in the Algarve which we hope are of interest to you as regular visitors to this area of Portugal.  Our mailing list is operated by “Constant Contact” and you are able to unsubscribe at any time using the link at the top of the email.

We have a Villascapes Facebook and Twitter Account where we promote our holiday properties and share resort news. We do not promote directly to anyone liking our page or commenting on it. 

Both Constant Contact and Facebook are certified under the US Privacy Shield Framework. You can read more on their Privacy Policies on their websites.

Retention of Data:

We retain your personal data in the form of your booking form and email address only to aid us with assisting you with future bookings or dealings with us. We will hold this data for a period of 24 months unless you tell us to hold the data for future use beyond this date.  We retain the invoices relating to your bookings for a period of 7 years as is the legal requirement for financial accounts.

Data Anonymisation:

We make use of Google Analytics, a service from Google to provide information on how our website is performing.  We just have this one cookie on our website, the Analytics Cookie, which collects information to provide statistical research and reports such as how many people have visited the site, when, and what pages were looked at, and from where the visitor came (search engine, facebook, link etc). No personal information is stored and the reports are of an anonymous nature.  More information can be found on Google’s website.

Your Rights:

At any time, you have the right to subject access, and also to restrict processing of your personal data. Furthermore you have the right to have your personal data erased (the ‘right to be forgotten’). Email or call us on 020 8579 2854.
